Oneteam Messaging/Chat

To take some critical decisions it becomes impeccable to communicate on-demand for instant feedbacks. Oneteam's chat feature enables users exchange instant messages from their devices. It also offers certain additional features that can be performed over messages for ease of users.

This document describes Oneteam's chat/messaging and other features in detail.

Before you begin

  1. You should be signed up on Oneteam.
  2. All the devices must have the latest Oneteam Messenger app.
  3. Users should be already added on Oneteam application. To learn how to add users, click here.

Chat / Messaging

Web application

To chat with another user, follow these steps:

  1. Visit https://oneteamapp.com/ and login with your account.
  2. Navigate to the Chat tab on the left panel.
Alternatively, you can also click on START CHATTING button on the first page

  1. This opens a new window. Click on the Contacts tab and select the contact with whom you want to chat.
  2. In the chat area on the right, start conversing by typing and sending your messages, send voice messages, make voice calls, send files etc.

  1. To send a message, just type the message and click on the Send button on the right. The message will be sent.

Device

Once Oneteam app is installed on the device and you are signed in, follow the steps below to start a chat with another contact/user:

  1. Open the Oneteam app on the Android device.
  2. Tap on the START button under the Chats tab.
    You can also click on the + sign at the upper right corner on the main screen of the app and select the contact from the list.
  3. Tap on the contact you want to chat with.
  4. A chat screen will appear that will allow you to chat with the selected contact. To send a message, just type the message in the space at the bottom of the screen and tap on the Send button on the right. The message will be sent.

Web Application

Following additional actions can be performed on messages:

All these actions should be enabled in the Settings > Action Settings section of Oneteam application

Action

Description

Quote

Out of a series of messages, if you want to respond on any particular message, you can use the Quote feature. This way the receiver knows which message has been responded to.

Info

Provides information related to the message:

  • Read By: Contact names who have read the message
  • Delivered To: Contacts to whom the message has been delivered
  • Remaining: Contacts to whom the message is yet to be delivered

Copy

Copies the message. If the same message has to be sent to the number of contacts, this feature can be beneficial.

Edit

A message can be edited and resent using the Edit feature

Delete

Deletes the message both on the sender's and receiver's sides. Clicking on Delete brings up a confirmation box asking

The above actions can be accessed by clicking on the small down arrow over any message and choosing the option as per requirement.

Device

On a device, the actions are accessible inside the Oneteam app, as shown in the screenshot below

The actions will be visible on the device when you long press a message (on which action has to be performed). This also highlights the message.

There are two additional actions that can be performed from device:

Flag Message

Bookmark messages on your devices for a quick reference later, so that you don't have to keep scrolling through the chats and search for particular messages. To learn more on how to Flag a message, click here

Forward

Forward any message to multiple contacts in one go. To know more about how to forward a message, click here

Chat Window contents

From the chat window, following functions can be performed:

  1. Voice Calling
  2. Send and Receive Attachments
  3. Voice Messaging

Voice Calling

From the chat window you can even make calls, via Oneteam

  • Web application to any device, or vice versa
  • One device to another device

To initiate a call,

  1. Select the contact name from the list of contacts, with whom you want to connect over call
  2. Click on the Call icon on the upper right corner of chat window

The receiver gets a ringing tone on his device. He/she can click on it and both can interact with each other.

You can make a VoIP call through Android and iOS devices.

Attachments

In addition to text messages, you can send image files and files of any other type/format (text, media, and more), in the form of attachments via Oneteam. To send a file,

Web Application
  1. Select the contact name from the list of contacts
  2. In the chat area, click on the Attachments icon on the top right
  3. This will show two options, viz. Image and Files. To send image files click Image and to send any other file type, click Files
  4. A new window will open from where you can browse for the file on your system. Select the file and click Open

The attachment will be sent.

a. The maximum file size allowed is 50MB
b. One file can be selected at a time

The status of the file sent is indicated by a Double tick mark on the filename where:
Grey color - indicates that the file is delivered
Blue color - indicates that file is seen by the recipient.
Device
  1. On your device, open Oneteam App by clicking on it.
  2. In the Chats list, choose the contact to which you want to send the file and tap on it
  3. This will open the chat view. Tap on the attachment icon at the bottom.
  4. You will see three options viz., Camera, Gallery, File. Tap on File
    To send an image from your device's gallery, tap on Gallery. To take and send a picture from your device's camera, tap Camera
  5. This will open a screen with a list of all the files lying in the internal storage of your device. Just tap on the filename which you have to send.

  1. The file will be sent.
The status of the file sent is indicated by a Double tick mark on your device

Voice Message

Grant access to your microphone to record and send a voice message. You can also create a voice message by tapping the quick record button next to your text input.

Web Application
  1. Select the contact to which you want to send the voice message. On selecting the device, the right side of the window will display its chat view. At the bottom right side of the chat view, you will see a Mic icon.
  1. To record Voice Message, just click on the mic icon and start recording. The progress will be shown in the form of the recording duration.
  2. Once the voice message is recorded, click on the send icon on the right to send it. To cancel the ongoing voice message, click on the cancel button (cross icon on the left).

The message will get sent to the device.

The status of the message sent is indicated by a Double tick mark on the filename where:
Grey color - indicates that the message is delivered
Blue color - indicates that message is seen by the recipient.
Green color - indicates that the voice message is heard by the recipient
Device
  1. On your device, open Oneteam App by clicking on it.
  2. In the Chats list, choose the contact to which you want to send the message and tap on it
  3. This will open the chat view. Tap on the Mic icon at the bottom right, next to the attachment icon and start recording.
  4. The progress will be shown in the form of recording duration.
  5. Once the voice message is recorded, click on the send icon on the right to send it. To cancel the ongoing voice message, tap on the cancel button (cross icon on the left).
  6. The message will be sent
The status of the file sent is indicated by a Double tick mark on your device

Message forwarding

You can forward message to other users using message forwarding.

Message Forwarding feature should be enabled under Settings > Action Settings

To forward a message, follow these steps:

  1. On your device, open Oneteam App by clicking on it.
  2. Select and tap on the chat from which you need to forward the message.
  3. Long press on the message you wish to forward and tap on the three vertical dots on the top right of the screen. Tap on the Forward
  4. A contact list screen would appear. Select the recipients. You can forward the message to contacts as well as Channels
  5. Once you select recipients, the forward icon will appear at the bottom. Tap the forward icon to send a message.
    A message can be forwarded to maximum of 5 recipients
Message forwarding cannot be done from the Web application
  1. The recipient will get the text Forwarded written over the message which denotes that it's a forwarded message.

Flag Messages

There might be cases where some messages which you have sent or received are important and you want to refer back to them at a later point of time. Oneteam provides a feature to bookmark such messages on your devices for a quick reference later, so that you don't have to keep scrolling through the chats and search the messages.

This is achieved through the 'Flag Messages' feature. Once a message is flagged, it will be shown on a separate screen under the head Flagged messages. This functionality works across all active chats.

This feature is supported on Android App version 4.6.0.2228 (57) and above

Flagging Message

To flag a message, follow these steps:

  1. On your device, open Oneteam App by clicking on it.
  2. From the list of chats, select and tap on the chat in which you need to flag a message.
  3. Long press on the message that has to be flagged. This highlights the message. There will be a flag icon on the top. Tap on it.
  4. Once you tap on Flag, a small flag icon will appear over the message. This indicates that the message is flagged.
  5. If you are flagging your own message, after long pressing it, you need to tap the three vertical dots on the top right and you will find the Flag message option there.

Viewing Flagged messages

  1. On the device, tap the back arrow to come to the screen listing all chats.
  2. Here, tap on the three vertical dots on the top right. You will find the option Flagged messages. Tap on it.
  3. A new screen Flagged Messages will come up. All the messages you flagged will appear here.
